Plugged Residentials (“we”, “us”, “our”) provides a platform that helps people offer and find spare rooms in shared homes. This Privacy Policy explains how we collect, use, store, and protect your data when you use our website or related services (“Service”). By using the Service, you agree to the practices described in this policy.
1. Information We Collect
1.1 Information You Provide
When you use the platform, you may provide:
- Name
- Email address
- Password (encrypted and not visible to us)
- Profile information (bio, preferences)
- Room listing details and address
- Listing photos
- Messages sent through the platform
- Lifestyle and preference information.
We do not require sensitive personal data.
1.2 Usage Data
We may collect:
- Device type, browser, IP address
- Pages viewed and actions taken
- Timestamped interaction data
- Log information from our hosting provider (Sharetribe)
1.3 Identity & Integrity Checks
To help keep the platform trustworthy, we may perform light identity or profile checks (for example, verifying email authenticity or profile completeness).
We do not perform:
- Background checks
- Credit or affordability checks
- Right to Rent checks
- Referencing
- Criminal record checks.
These responsibilities remain with users entering an offline arrangement.
1.4 Analytics & Third-Party Tools
We may use limited analytics through Sharetribe or email tools to understand platform performance. No behavioural advertising or cross-site tracking is used.
2. How We Use Your Information
We process your information to:
- Operate and maintain the platform
- Allow Hosts to publish spare room listings
- Allow Renters to browse and message Hosts
- Display your profile to other users as described (e.g., Hosts are always visible; Renters become visible once they message a Host)
- Improve platform functionality and reliability
- Communicate with you about updates or support needs
- Enforce safety and trust standards
- Comply with legal requirements.
We do not sell your personal data.
3. Legal Basis for Processing (UK GDPR)
We process data under:
- Contractual necessity – to provide the platform and core features
- Legitimate interests – to maintain safety, prevent misuse, improve functionality
- Consent – for optional profile fields or marketing communications
- Legal obligation – only where required by law.
4. How Listings and Profiles Are Shared
Hosts: Your listing and profile become visible to anyone browsing spare rooms. Renters: Your profile is not visible until you message a Host. Messaging: Message content is stored on Sharetribe’s servers. We do not review messages between users.
5. Payments & Financial Information
Plugged Residentials uses Stripe for:
- Membership payments
- Listing fees.
We do not store or process card details. Stripe handles all payment information under its own policies.
Plugged Residentials does not:
- Process rent
- Hold deposits
- Handle refunds between Hosts and Renters
- Create, store, or manage tenancy agreements.
All financial arrangements between users occur off-platform.
6. How We Share Data
We may share limited data with: Service providers:
- Sharetribe (platform host)
- Stripe (payments)
- Kit (email communications)
- Legal authorities when required by law or to investigate reported safety concerns.
We do not sell your data and do not share information with advertisers or partners.
7. International Transfers
Some third-party providers may process data outside the UK. Where this occurs, we rely on GDPR-approved safeguards (e.g., Standard Contractual Clauses).
8. Your Rights
Under UK GDPR, you have the right to:
- Access your data
- Correct inaccurate information
- Request deletion (“right to be forgotten”)
- Object to certain processing
- Restrict processing
- Request a copy of your data (portability)
- Withdraw consent (for optional fields or marketing).

Requests may be handled manually.
When you delete your account, we aim to permanently delete associated personal data within 30 days, except data we must retain for legal or fraud-prevention purposes.
9. Data Retention
We retain your data for as long as your account is active.
Once deleted, we will aim to remove your personal data from active systems within 30 days. Backups or legally required data may persist for longer where necessary.
10. Security
We take reasonable technical and organisational measures to protect your data, including:
- Encrypted data transfer
- Secure platform hosting
- Limited internal access controls.
No system is completely secure. Please keep your login details safe.
11. Under 18s
Plugged Residentials is only for users aged 18 and over.
We do not knowingly collect data from minors.
11A. Data Related to Safety Reports
If you report suspicious behavior or safety concerns, we may retain relevant data (including messages and user information) for longer periods to investigate and prevent future issues. This processing is based on our legitimate interest in maintaining platform safety.
12. Third-Party Links
The platform may include links to external services (e.g., maps or payment portals). These have their own privacy policies that we do not control.
13. Changes to This Policy
We may update this Privacy Policy occasionally. We will notify you of material changes by email or through the platform at least 30 days before they take effect. The "Last Updated" date at the top will change when we do. Continued use of the platform constitutes acceptance of any updated terms.
